Terms of Use

By accessing or using Theoretic Hotels (“the Service”), you agree to be bound by these Terms of Use and our Privacy Policy. If you do not agree, do not use the Service. These terms apply to all user roles: Super Admin, Hotel Admin, Staff, and Guest.

We grant you a limited, non-exclusive, non-transferable license to use the Service for your hotel operations. You may not: (a) resell or white-label the Service, (b) reverse-engineer or extract source code, (c) use the Service to process data for third parties without authorization, (d) exceed your plan's key/staff limits, or (e) use the Service for any illegal purpose under Indian law.

Pricing is in Indian Rupees (₹). Plans: Boutique (₹9,999/mo annual), Group (₹24,999/mo annual), Enterprise (custom). Billing is per-property per-month. Annual plans receive an 18% discount. Invoices include 18% GST. You can upgrade, downgrade, or cancel anytime from Settings. Cancellations take effect at the end of the billing cycle — no refunds for partial months.

• Maintain accurate hotel and property information.
• Protect your login credentials — do not share them.
• Ensure all guest data is collected with consent (ID proof, contact details).
• Comply with Indian GST regulations when generating invoices.
• Configure email (SMTP) and WhatsApp credentials in Settings before sending guest communications.
• Use OTA sync features in compliance with each OTA's terms of service.

You must not: (a) upload malicious code or attempt to exploit vulnerabilities, (b) send spam or unsolicited communications through the platform, (c) attempt to access other hotels' data, (d) use bots or scrapers to extract data, (e) interfere with the Service's operation. Violations result in immediate account suspension.

We may suspend or terminate accounts that violate these terms. Hotel Admins can deactivate staff and guest access at any time. Super Admins can deactivate Hotel Admin access. Upon termination, your data is retained for 30 days for export, then permanently deleted (except GST records retained for 7 years per Indian law).

We may update features, pricing, or these terms at any time. Material changes to pricing will be communicated 30 days in advance. Continued use after changes constitutes acceptance. We strive to maintain 99.9% uptime but do not guarantee uninterrupted service.

The Service is provided “as is” without warranties. We are not liable for: (a) lost revenue due to service downtime, (b) data loss caused by your misconfiguration, (c) guest disputes arising from incorrect billing, (d) OTA sync failures caused by third-party API changes. Total liability is limited to the amount paid in the preceding 12 months.
